The Gifford Foundation is seeking a collaborative, solutions-oriented self-starter who is well organized with strong attention to detail.  It is important that the candidate’s values align with the foundation’s mission and that they have the ability to work independently and as part of a team. This position plays a critical role in grants management and monitoring, as well as core operating functions for the office, program team, and Executive Director.  This position reports to the Associate Director.

 Responsibilities

  • Grant Management: Manage and coordinate the operational aspects of the grantmaking cycle. This includes data entry, communication skills, and the ability to support coordination and learning among staff. Support Program staff in grant management activities, including but not limited to preparation of grant contracts, payment letters, and disbursements, and receipt/filing of interim and final reports from grantees.  Ensure the highest standards for grantmaking, grant management, and fiscal integrity. Support the mechanics of the programs and grantmaking systems by: managing program pipeline, document workflow, maintaining files, and acting as internal/external liaison on document requests and submissions.
  • Office Administration: Support the day-to-day operations and manage events by coordinating events, scheduling meetings and calls, providing notetaking and other meeting support.  Calendar management, greeting guests, retrieving and sorting mail and deliveries, managing office and kitchen supplies and upkeep, preparing letters, handling light copy and scan projects, maintaining and organizing paper and electronic filing systems, setting up and taking down meetings, arranging catering, handling building work orders, and maintaining overall office appearance and functionality. Contribute to Foundation operations by working with colleagues on board meeting preparation, staff committees, organization development (contacts and mailing lists, etc.).  Executes special projects as assigned.

Skills and Qualifications

  • Associate’s degree or equivalent experience with an understanding of basic principles of administration and grantmaking
  • Proven abilities in analytical, database, and reporting skills.
  • Ability to implement and/or follow effective workflow processes and procedures.
  • Advanced computer and office skills; excellent verbal, written, and interpersonal skills.
  • Ability to prioritize workload with multiple deadlines.
  • Ability to work independently and as part of a team.
  • Ability to work in an environment that may be high-pressure depending on demands.
  • Ability to handle highly sensitive and confidential paperwork and conversations, as well as the ability to demonstrate sensitivity to and appreciation for diverse viewpoints and different communication and work styles in a multicultural environment.

Contract:

The position is a contracted one-year position with a 6-month check-in.  The hours are flexible weekly, with some evenings and weekends. The contracted services agreement will be based on experience and hourly request. Minimum of twenty hours per week.
